Candidates found suitable in this recruitment process will be placed on a Roster and might be offered a fixed-term or short-term post of Project Assistant (G5) in OSCE Office for Democratic Institutions and Human Rights (OSCE/ODIHR). Successful candidates will remain on the roster for a period of 3 (three) years. Placement on the Roster shall not carry any expectation or guarantee of actual fixed-term or short-term employment to be made to the successful candidate/s.
Responsibilities
- Drafting correspondence (both on administrative and project matters), working documents and background material pertaining to issues addressed through project activities, including minutes, and sections of project reports; putting documents into adequate style, language and format.
- Assisting in the development and implementation of project activities by liaising with counterparts and facilitating their participation, and monitoring the implementation of activities and submission of reports by the implementing partners and consultants.
- Performing all administrative tasks such as schedules and arrangements for meetings and other events, reservations, budget follow-up, research for information and reference material. Preparing requests/documents, e.g. requisitions, travel requests/authorizations, expenditure authorizations, visa applications, etc.
- Using software (Oracle), initiating and following up on actions related to requisitions, recruitment of consultants, training and study tours, purchase of services and goods, payments, travel authorizations requests/claims and dealing with all related inquiries.
- Keeping track of pending matters and following up with other offices on deadlines, as well as on budget and expenditure for specific project outcomes, outputs and/or activities, giving estimates of costs for individual project activities and proposing budgetary and/or expenditure adjustments to supervisor.
- Undertaking computer-based searches; collating, selecting and interpreting information necessary for the development of project activities and events.
Education:
Completed secondary education
Work Experience:
- At least 5 years of relevant work experience in the field of project support/ project administration; a university degree in a relevant field may be considered as a substitute for up to two years of working experience;.
- Experience in project planning, implementation and reporting.
- Human rights knowledge is an asset.
- Ability to conduct research and collect information from a variety of sources.
- Professional fluency in English with excellent communication (both oral and written) skills; professional fluency in Russian would be an asset.
- Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities.
